Cancellation & Payment Policy

IABC Brazos Valley offers communicators several professional development events throughout the year. These events frequently include a meal as part of the package. To ensure that we have enough food prepared to meet demand, we ask that you RSVP at least 3 days to a week before the event. What you may not know is that immediately after the RSVP deadline we place an order with the caterer based on the number of RSVPs, and we are charged for that amount even if fewer people show up. That leaves the chapter taking a loss, since there is very little “profit” in our pricing.
Consequently, we are only too glad to take your cancellation requests prior to the RSVP deadline. After all– our goal is merely to have an accurate head-count. However, if you must cancel your RSVP after the registration deadline, please find someone to take your place. RSVP no-shows will be sent an invoice.
Payments and Refunds
As a volunteer-run professional organization, we understand that folks have different payment needs depending largely on where they work. Some of our members pay out of pocket, others pay out of pocket but need receipts for reimbursement, and others are covered by purchase orders directly by their employers. The chapter does not exist to make money, but to provide high-quality professional development and networking opportunities to its members. We make every effort to keep costs reasonable while providing value.
IABC Brazos Valley accepts cash and checks. We also now accept credit cards when you pre-pay (this option is not available after an event). IABC Brazos Valley will no longer invoice individuals, companies or Texas A&M University departments.
If you pre-pay for an event and cancel by the RSVP deadline, we will gladly refund your money. If you cancel after the deadline and do not find a replacement, we have little choice but keep your payment to cover the cost we will incur for the meal we ordered on your behalf.
